🗓️ How to Nail Your Email Content Calendar (Without Losing Your Mind)
Creating an email marketing calendar sounds like one of those things you should be doing… right after you clean your inbox and master A/B testing.
But here’s the truth: your email calendar isn’t a nice-to-have. It’s how you send better content and how you keep campaigns organized even when things get busy.
Kanishka and Moses Agbonmabi from beehiiv break down the simplest way to build a system you can use to stay focused and convert.
🎯 Step One: Start With the Foundation
Before you pick a tool or start filling in dates, make sure you’ve thought through these three pillars:
1. Right Timing
Send emails when your audience is most likely to open. Think in terms of:
Days (e.g. promotions on Tuesdays, recaps on Saturdays)
Cadence (weekly, biweekly, monthly)
Consistency beats perfection. Create a rhythm that fits your workflow, and stick to it.
2. Audience Relevance
Know what your readers actually care about. Some audiences want product drops.
Others prefer behind-the-scenes or curated insights.
3. Content Categories
Not all emails serve the same purpose. Divide your calendar by content type to stay organized and make execution easier. For example:
Monday → Weekly flagship piece
Tuesday → Promotional offer
Saturday → Roundup or highlight
This helps your team know what’s going out, and your audience knows what to expect.
🛠️ Build the Calendar
Once you’ve nailed the strategy, it’s time to plug it into a usable format. Here’s what your layout should include:
✅ Type of Message: Promotions? Educational? Weekly digest? Define the goal behind each send.
🎯 Target Audience: Segment by interest, stage, or intent. One-size-fits-all doesn't cut it in 2025.
📬 Subject Line: Track what you’ve used, what worked, and what didn’t. You’ll start to see patterns.
📅 Date + Time: Include the send time and deadlines for drafting, reviewing, and approval.
📌 Status: Is it in planning, drafted, or ready to go? Mark it so nothing slips through the cracks.
👤 Owner: Assign a name to each send.
📈 Campaign: Keep related emails grouped. Helpful when reviewing performance or planning cross-channel campaigns.
